About the Role

As the Executive Assistant, you will find an exciting opportunity for an individual to provide senior level support to the Executive C-Suite team. The ideal candidate will be able to work individually as well as in a team environment. You will report to the Chief Financial Officer but will also provide support to the Chief Executive Officer and other members of the Executive Team as applicable.

In the role of Executive Assistant, you would be located at our Technology and Development Center/Manufacturing Center of Excellence that is located at our headquarters location in St. Louis, MO.

This role is 100% onsite with some flexibility for occasional work from home.

Your Key Responsibilities

As an Executive Assistant, you will provide high-level administrative support to the Executive Team, ensuring smooth day-to-day operations and facilitating efficient communication and coordination. You will act as a gatekeeper and liaison, managing schedules, organizing meetings, and performing various administrative tasks to enhance the executives' effectiveness and productivity. Additional responsibilities include:

  • Provide Senior Level Executive support for writing / responding to emails, preparing memos for team and enterprise communications on behalf of the C-Level Executives
  • Scheduling and active management of Executive calendars, arranging / coordinating meeting and various enterprise meetings and events
    • Proactively managing sensitive calendar and executive request matters
    • Someone that has presence and can operate with the utmost respect of team members and trust in to sharing confidential / sensitive information
  • Preparation of certain meeting materials, including basic agenda, presentations and aligning team members for certain meetings needs / task
    • Complete certain special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material as needed
  • Management of certain day to day business request and supporting team members on getting needed direction / decisions to streamline decision-making
    • Flexibility and resourcefulness are critical
  • Excellent written and verbal communication. Ability to comfortability navigate in a dynamic and growing global business environment
  • Excellent time management for both themselves, as well as support of Executives time management
    • Directing basic request away from the Executive to most effective decision-maker or resolving the request themselves
  • Limited potential travel to support larger meetings or enterprise events
  • Other duties as assigned from time to time, including supporting other departments or Executives as needed

Required Qualifications

  • Bachelor's degree or equivalent experience in business administration, management or related field
  • Proven experience as an executive assistant or similar role, preferably supporting C-suite executives or senior management
  • Exceptional organizational and time management skills, with ability to prioritize tasks and handle multiple responsibilities simultaneously
  • Strong communication skills, both written and verbal, with the ability to interact professionally at various levels
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
  • Excellent attention to detail and accuracy in completing tasks
  • Strong problem solving and ability to anticipate needs and proactively address issues

Desired Qualifications

  • Familiarity with virtual meeting platforms and collaboration tools
  • Previous experience preparing PowerPoint presentations for executives
