Essential Functions

  • Support the Chief Compliance Officer and Integrity & Compliance organization with various administrative duties including but not limited to travel and expense, scheduling meetings, managing calendars, managing invoices, purchase orders & subscriptions, Webex/Teams calls with colleagues, mail services (FedEx, UPS), general copying, filing and scanning, meeting preparation and logistics, and project management.

  • Management of detailed travel schedules for Chief Compliance Officer including both domestic and international travel and the preparation of related itineraries. Able to respond and quickly adapt meetings, scheduling and travel due to last minute unplanned changes.

  • Prepare and submit complex expense reports in a timely manner, ensuring expenses are within compliance with the Global Business Travel & Expense Policy.

  • Drafting of departmental and executive-level meeting agendas, assisting the Chief Compliance Officer with the preparation of executive-level meeting content, and obtaining and disseminating meeting materials on a specified timeline.

  • Coordinate and organize internal meetings and annual offsite meetings, including logistics, attendees, meals, materials and communications while staying within budgetary guidelines.

  • Assisting with the management of the Integrity & Compliance departmental budget, including annual budget planning, monthly meetings with the Finance business partner to track performance against the budget, and participate in financial planning updates on a quarterly basis.

  • Management of Integrity & Compliance contracting, including but not limited to data entry of contracts, tracking contracts to completion, working with the Procurement team to resolve any issues during negotiations, and working with requestors to ensure business needs are met and comply with Mallinckrodt's procurement policies.

  • Creation of a departmental annual calendar with corresponding workback plans for the Integrity & Compliance organization.

  • Develop presentations, charts and graphs as required for departmental, committee, executive, and Board of Directors meetings.

  • Represent the Company at the highest level during frequent interactions with internal business leaders and external parties.

  • Manage projects supporting the Integrity & Compliance department as needed.

  • Draft and send communications on behalf of the Chief Compliance Officer and Integrity & Compliance organization as required.

  • Provide vacation coverage, and other coverage as needed for other assistants.

  • Other projects and duties as assigned with or without accommodation.

Minimum Requirements

Education / Experience / Skills:

  • High School Diploma or equivalent, bachelor's degree preferred.

  • 10 years of administrative experience in a corporate environment, and 5 years' experience supporting senior level executives.

  • Active notary accreditation preferred.

Competencies:

  • Proven ability to independently plan, manage, and work with a high degree of accuracy and attention to detail in a fast-paced environment with multiple simultaneous priorities.

  • Ability to meet deadlines and to be flexible and adjust to business needs.

  • Proficiency in managing multiple calendars in Outlook and ability to recognize and manage priorities on calendars.

  • Work requires a general understanding of business practices and superior verbal and written communications skills.

  • Must have knowledge of general office and administrative procedures, including a knowledge and use of standard office meeting applications and equipment (WebEx video meetings, DocuSign, copier, scanner, etc.) as well as supporting remote and in person executives.

  • Must possess excellent computer skills, specifically Microsoft Office: Outlook, Teams, Excel, Word, andPowerPoint applications.

  • Experience with managing policies and procedures in a document management system and invoicing and PO systems.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Must possess interpersonal skills to handle sensitive and confidential situations and the ability to provide superior customer service; position requires demonstrated confidence, tact and diplomacy.

  • Work requires some analytical ability to gather and summarize data for reports, find solutions to administrative problems and to prioritize work.

  • Demonstrated ability to deal with frequent change, delays, or unexpected events.

  • Ability to be flexible and adaptable to various competing demands with exceptional ability to prioritize.

  • Shows respect and sensitivity for personal and cultural differences.

  • Contributes to building a positive team experience.

Organizational Relationship/Scope:

Position location in Hazelwood, MO. The current operating model is a hybrid schedule. working remotely on Mondays, Thursdays, and Friday and in office Tuesdays and Wednesdays. This schedule could change depending on business needs.
