Summary

The University of Health Sciences and Pharmacy in St. Louis (UHSP) is looking for a CRM Specialist to manage the daily functions of the CRM tool (Slate) within the admissions office. This position reports to the associate director of admissions operations. As the CRM Specialist, you will work with the associate director of recruitment and marketing in the development and maintenance of student outreach within Slate which includes but not limited to drip campaigns and other targeted messaging (emails, texts, calls); maintenance of queries, rules and email templates allowing admissions staff to conduct outreach. In addition, you will be responsible for maintaining and updating all areas of Slate to support recruitment, application processing and review, yield, and enrollment of students; and work closely with the admissions office and campus partners to support and train on all aspects of the CRM tool.

You will get to be responsible for:
  • The day-to-day management of the CRM along with strategic vision of utilizing it for efficiency and productivity. Includes by not limited to creating how-to-guides, reports and queries and new implementation plans.
  • Overseeing the process of how the CRM is used in applicant files and document processing consistent with recruiting plan and internal processes. Maintain documentation on processing procedures. Continually evaluate the process and look to improve the process by reducing steps, errors, automation, new systems, etc.
  • Ensuring data integrity and compliance with admissions policies and procedures. Train the Admissions staff as necessary to ensure accurate, timely data is being entered by the correct staff and all staff have a clear understanding of data. Work with staff to mitigate and correct data integrity issues.
  • Management of and updating of all application content within CRM and Common App.
  • Management of marketing communication within CRM: works closely with marketing to continuously develop CRM communication and execute campaigns as it pertains to the enrollment cycle as well as prepping/preparing for all admission mailings; manages the communication timeline for all constituencies: inquiries, applicants, accepted students, parents, high school counselors, etc.; performs appropriate audits of communications and campaigns to ensure the respective messaging reaches the target audience as scheduled; and manages CRM processes to ensure incoming student communications and tracking is seamless for the university and user-friendly for the incoming student.
  • Management of all reports and queries to assist in recruitment funnel movement.
  • Working with IT and associate director to outline streamline process for data sharing between CRM and Student SIS.
  • Management of name purchased integration within CRM. Responsible for data mapping and integrity.
  • Serving as the campus subject matter expert (SME) on CRM, manage training on CRM for campus partners.
  • Providing operational assistance to the processing department during busy times to ensure processing of student applications moves quickly. Aid in the response of all admissions questions that pass-through Slate and the admissions office.
  • Other duties and projects as assigned


Qualifications
To succeed in this role, you will need:
  • A Bachelor's degree from an accredited institution of higher education
  • One-year minimum experience working with a CRM is required. Two-Three years working with or managing a CRM is a plus. SLATE experience is preferred.
  • Prior experience working in higher education admissions office a plus
  • A valid driver's license
  • The ability to work independently
  • Must be very articulate, have excellent written and oral communication and presentation skills, and able to explain abstract concepts effectively
  • Evidence of the ability to work successfully with college partners and University administrators
  • Ability to develop knowledge of, respect for and skills to engage with those of other cultures or backgrounds is required
  • Sensitivity to issues related to recruitment and retention of a diverse student body are required
